From work order to invoice, with a trace at every step.

A service company lives between what was agreed, what was done and what gets invoiced. BiVelio turns that circuit into a stateful process, protects your clients' data before any AI sees it and stops before a person anything that doesn't match what was agreed.

Illustrative scenario with fictitious data — not taken from any customer.

How a service flows through BiVelio

The same BiVelio flow, explained in the vocabulary of operations: what was agreed, what is protected, what it costs and who approves the invoice.

1

The service enters its process

Every work order opens a case in its process: what the contract covers, which SLA applies, what was charged and who approves the invoice.

2

Privacy protects the customer

Customer names, addresses, contacts and bank accounts are replaced with reversible placeholders before any external AI sees them. The mapping key never leaves your company.

3

Savings measures what it costs

Every call to a model is priced against the provider's own meter. You know what AI costs per contract before deciding whether it goes into the margin or into the price.

4

Studio puts the gate on invoicing

The service moves through a stateful flow: what matches the contract goes through; a work order without a breakdown, hours outside the SLA or an extra nobody agreed stops before the owner and is recorded.

The hard cases — and what happens to them

What sets a governed system apart from a tool is not the easy case, but where the exception ends up.

Hours that exceed what the contract says

The work order says eight hours and the contract covers six. The difference is neither invoiced automatically nor lost: it is flagged against what was agreed and waits for the owner.

An incomplete work order

The breakdown or the materials are missing. The process doesn't fill them in by inference from other orders: it sends it back to the technician and it doesn't move to invoicing until it is complete.

Materials charged to the wrong customer

The work order doesn't name the site. Instead of assigning it “to the most likely one”, the flow asks: a wrong allocation costs more than a question.

A step the model wants to “skip”

If an agent proposes invoicing an extra nobody approved, the policy blocks it. No invoice goes to your client with anything not agreed.

What gets automated

  • Opening and classifying work orders and invoices
  • Controlling hours, materials, amounts and dates at every step
  • Pseudonymising customer data before any AI
  • Matching contract ↔ job sheet ↔ invoice
  • Moving on to invoicing when everything reconciles with what was agreed

What stays in the hands of the manager

  • Every exception the policy cannot resolve on its own
  • Any difference between what was agreed and what was performed
  • Approval of extras, penalties and the final invoice
  • Customer complaints and their resolution
  • The customer relationship: what they are told and when

Regulation and trust: what we can state

Only what we already publish and you can verify. Your contractual commitments to your customers remain yours; the gate gives you technical facts to prove you meet them.

Personal data under GDPR and LQPD

Your customers' data and their contacts are pseudonymised in your environment before anything leaves; the definition in Art. 4(5) GDPR describes exactly that mechanism. Data hosted in the EU.

Confidentiality, by construction

The external model only sees placeholders; reconstruction happens in your system. That a customer's data never left is not a clause: it is a verifiable property of the design.

Traceability in front of the customer

Every step of the process is recorded, and so is every approval: who, what, when and under which policy. An audit is answered by pointing, not by reconstructing.

Who it is for — and who it is not for

It fits if…

  • You invoice from work orders and contracts that can no longer be cross-checked by hand
  • You want to use AI in operations without your customers' data travelling to an external provider
  • You need every amount invoiced to have a provable origin in front of the customer
  • You would rather have what does not reconcile stop in front of a person than end up with a disputed invoice

It does not fit if…

  • You are looking for technician scheduling or fleet management software — BiVelio is not that
  • You want AI to invoice without anyone approving extras or differences
  • Your volume is a few work orders a month: checking by hand pays off

How it's implemented: a two-week pilot, no project

No migration, no integration up front. We start with one of your real processes, in measure-only mode, and you decide on what you see.

1

Week 1 · your process, nothing touched

Together we pick one repetitive process and trace it step by step: what triggers it, which systems it touches, who approves and where it gets stuck. Savings measures what the AI would cost. You watch; nothing changes yet.

2

Week 2 · the human gate with your team

Together we define what gets automated and what stops in front of a person in your operation, and who reviews. Privacy is switched on in front of the models you already use. The flow runs with your people inside it.

3

Decision · with your figures, not ours

You see how many runs went through on their own, which ones stopped before a person and why, and the cost measured against the provider's meter. If it doesn't pay off, you say so and nothing happens. If it does, the pilot is already the implementation.

Frequently asked questions from service companies

What happens to incomplete work orders?

They don't move to invoicing: the process sends them back to the technician with what is missing flagged. An hour or a material is never filled in by inference.

Does my customers' data reach ChatGPT, Claude or any external model?

No. Privacy replaces it with reversible placeholders before the request leaves your company; the provider only sees placeholders and the answer is reconstructed locally. If detection is in doubt, the request does not go out.

Does it replace my invoicing software or my ERP?

No. It governs the circuit — cross-checks contracts, work orders and invoices — before anything reaches your system, and leaves invoicing and collection to your team and your software.

What happens when a job sheet does not match the contract?

It is neither invoiced nor discarded: the difference is flagged against what was agreed and waits for the owner's decision, which is recorded.
