A corporation's AI infrastructure, without the department that runs it.
An SME has no data team and no full-time data protection officer. BiVelio turns your repetitive processes — orders, collections, approvals — into stateful flows, protects what is sensitive before any AI sees it, tells you what it costs and leaves anything unclear to whoever is in charge.
Illustrative scenario with fictitious data — not taken from any customer.
How a process flows through BiVelio
The same BiVelio flow, explained for a company with no time to learn a new system: what comes in, what is protected, what it costs and who decides.
The transaction enters its process
An order, a collection or an approval opens a case in its process: which systems it touches, which rules apply and who decides. Nothing to configure per supplier.
Privacy protects customers and employees
Names, bank accounts, identifiers and addresses are replaced with reversible placeholders before any external AI sees them. The mapping key never leaves your company.
Savings measures what it costs
Every call to a model is priced against the provider's own meter. You know what AI costs you per month before the card statement tells you.
Studio puts the gate in the hands of whoever is in charge
The case moves through a stateful flow: what adds up goes through; an order without a clear date or an invoice that doesn't match the order stops before the person in charge and is recorded.
The hard cases — and what happens to them
What sets a governed system apart from a tool is not the easy case, but where the exception ends up.
The order that arrives in a three-line email
No reference, “the usual” and “by Thursday”. What can be confirmed is confirmed; what can't is asked of the person with the email in front of them instead of inventing an order.
A hundred suppliers, a hundred ways of working
No templates to maintain: each process applies its rules whatever the supplier. What is out of the ordinary breaks nothing; it goes up for review.
The same customer under three names
Registered name, trading name and the owner's name. Pseudonymisation placeholders are stable within the case file: the AI reasons about the same customer without ever knowing who it is.
A step the model wants to “skip”
If an agent proposes paying or closing an order without the approval the policy requires, the gate blocks it. Nothing out of the ordinary moves without you.
What gets automated
- Opening and classifying orders, collections and approvals
- Checking amounts, dates and references at every step
- Pseudonymising customers, employees and bank accounts before any AI
- Matching purchase order ↔ delivery note ↔ invoice
- Moving the flow forward when everything adds up
What stays in the hands of whoever is in charge
- Every exception the policy cannot resolve on its own
- Any discrepancy between order, delivery and invoice
- Approval of payments and of new terms
- The exceptions: a new supplier, an amount out of the ordinary
- The final decision before a transaction moves forward
Regulation and trust: what we can state
Only what we already publish and you can verify. Your tax and data protection obligations remain yours; the gate gives you technical facts to meet them without a dedicated department.
Personal data under GDPR and LQPD
Customers, employees and bank accounts are pseudonymised in your environment before anything leaves; the definition in Art. 4(5) GDPR describes exactly that mechanism. Data hosted in the EU.
Secrets that never travel
Passwords, banking credentials and API keys are not pseudonymised: they are blocked. A reversible placeholder for a secret is still a secret, which is why the gate fails closed.
Traceability without effort
Every step of the process is recorded, and so is every approval: who, what, when and under which policy. An audit is answered by pointing, not by reconstructing.
Who it is for — and who it is not for
It fits if…
- Every week you handle more orders, collections and approvals than anyone can follow calmly
- You want to use AI without your customers' and employees' data travelling to an external provider
- You have no tech team and need it to work without templates or per-supplier setup
- You would rather have anything doubtful stop in front of you than an automation that cannot explain itself
It does not fit if…
- You are looking for an ERP, an accounting package or a CRM — BiVelio is none of those: it works on top of yours
- You want AI to approve payments or close orders with nobody looking
- Your volume is a few dozen transactions a month: doing it by hand pays off
How it's implemented: a two-week pilot, no project
No migration, no integration up front. We start with one of your real processes, in measure-only mode, and you decide on what you see.
Week 1 · your process, nothing touched
Together we pick one repetitive process and trace it step by step: what triggers it, which systems it touches, who approves and where it gets stuck. Savings measures what the AI would cost. You watch; nothing changes yet.
Week 2 · the human gate with your team
Together we define what gets automated and what stops in front of a person in your operation, and who reviews. Privacy is switched on in front of the models you already use. The flow runs with your people inside it.
Decision · with your figures, not ours
You see how many runs went through on their own, which ones stopped before a person and why, and the cost measured against the provider's meter. If it doesn't pay off, you say so and nothing happens. If it does, the pilot is already the implementation.
Frequently asked questions from SMEs
Do I need an IT person to set it up?
No. BiVelio connects on top of the tools you already use and the demo is done with one of your processes. What you do need is a person to decide what the human gate puts in front of them.
Does my customers' data reach ChatGPT, Claude or any external model?
No. Privacy replaces it with reversible placeholders before the request leaves your company; the provider only sees placeholders and the answer is reconstructed locally. If detection is in doubt, the request does not go out.
Does it replace my accounting software or my ERP?
No. It governs the process — cross-checks, validates and routes — before anything reaches your system, and leaves the entry and the payment to your team and your software. It works on top, not instead.
How much is AI going to cost me per month?
Savings measures every call against the provider's own meter. Your first month is calibration: you pay the seat only, we measure all of your traffic and we charge no commission — at close you see the exact statement of what it would have cost.
Bring one of your company's processes and watch it run.
In the demo we trace one of your processes — with test data — and you see every step with its rule, its trace and its human gate.
