Every payment with its approval. Every account, without leaving your environment.
In finance a step without control is an entry nobody can defend. BiVelio turns approvals, reconciliations and payments into stateful processes, pseudonymizes accounts and holders before any AI sees them and stops before a person whatever moves money and doesn't add up.
Illustrative scenario with fictitious data — it does not come from any client.
How a finance process flows through BiVelio
The same BiVelio flow, told in the vocabulary of the department: what comes in, what is protected, what it costs and who approves.
The transaction enters its process
An invoice, an order or a bank movement opens a case in its process: which order it matches, which budget it consumes and who approves it.
Privacy protects accounts and account holders
IBANs, account holders, tax IDs and addresses are replaced with reversible markers before any external AI sees them. The mapping key never leaves your environment.
Savings measures what it costs
Every query to a model is priced against the provider's own meter and the floor of the interval is published, not the flattering estimate. The saving is an invoice figure, not a brochure figure.
Studio sets the approval gate
The case moves through a stateful flow: what adds up goes through; a duplicate invoice, a doubtful due date or an amount that doesn't match the order stops before a person and is recorded.
The hard cases — and what happens to them
What sets a governed system apart from a tool is not the easy case, but where the exception ends up.
An invoice that does not match the purchase order
A different quantity, a different price or a line that didn't exist. The discrepancy doesn't fix itself: it is flagged with the order and the invoice side by side and waits for approval.
Duplicate invoices or repeated numbers
Same issuer, same amount, different number — or the same one. The flow stops it before it reaches payment and shows the original it collides with.
An ambiguous due date
“Net 30” without saying from when. If the term isn't unambiguous, the payment doesn't go into the cash forecast: it stops before a person.
A step the model wants to “skip”
If an agent proposes paying without the approval the policy requires, the gate blocks it. No out-of-threshold payment leaves without a person.
What gets automated
- Opening and classifying every transaction in its process
- Checking amounts, dates and references against orders and budget
- Pseudonymisation of accounts, account holders and identifiers before any AI
- Matching invoice ↔ purchase order ↔ bank transaction
- Moving the approval circuit forward when everything adds up
What stays in the team's hands
- Every exception the policy cannot resolve on its own
- Any discrepancy between invoice, purchase order and payment
- Approval of anything that moves money
- Policy exceptions: new suppliers, amounts out of range
- The accounting close and responsibility for the journal entry
Regulation and trust: what we can state
Only what we already publish and you can verify. Accounting and tax obligations remain yours; the gate gives you technical facts to support them.
Personal data under GDPR and LQPD
Accounts and account holders are pseudonymised in your environment before they leave; the definition in Art. 4(5) GDPR describes exactly that mechanism. Data hosted in the EU.
Secrets that never travel
Banking credentials, tokens and API keys are not pseudonymised: they are blocked. A reversible marker for a secret is still a secret, which is why the gate fails closed.
Traceability for the auditor
Every step of the process is recorded, and so is every approval: who, what, when and under which policy. An audit is answered by pointing, not by reconstructing.
Who it is for — and who it is not for
It fits if…
- Your team repeats, every week, reconciliations and approvals that no longer fit manual work
- You want to use AI in your finance processes without accounts or holders travelling to an external provider
- You need every step of the circuit to have a trace you can show the auditor
- You would rather have what does not add up stop in front of a person than an automatic journal entry
It does not fit if…
- You are looking for an ERP or accounting software — BiVelio is not one: it works on top of yours
- You want AI to approve payments or close periods without human intervention
- Your volume is a few dozen transactions a month: doing it by hand pays off
How it's implemented: a two-week pilot, no project
No migration, no integration up front. We start with one of your real processes, in measure-only mode, and you decide on what you see.
Week 1 · your process, nothing touched
Together we pick one repetitive process and trace it step by step: what triggers it, which systems it touches, who approves and where it gets stuck. Savings measures what the AI would cost. You watch; nothing changes yet.
Week 2 · the human gate with your team
Together we define what gets automated and what stops in front of a person in your operation, and who reviews. Privacy is switched on in front of the models you already use. The flow runs with your people inside it.
Decision · with your figures, not ours
You see how many runs went through on their own, which ones stopped before a person and why, and the cost measured against the provider's meter. If it doesn't pay off, you say so and nothing happens. If it does, the pilot is already the implementation.
Frequently asked questions from finance teams
Do IBANs and account holders reach ChatGPT, Claude or any external model?
No. Privacy replaces them with reversible markers before the request leaves your environment; the provider only sees markers and the response is reconstructed locally. If detection is in doubt, the request does not go out.
What happens when an invoice doesn't match its order?
The flow doesn't adjust it by itself: it stops before a person with the order, the invoice and the failed rule in front of them, and their decision is recorded. Nothing moves forward by inference.
Does it replace my ERP or my accounting software?
No. It governs the process — cross-checks, validates and routes — before anything reaches your system, and leaves the entry and the payment to your team and your ERP. It works on top, not instead.
How much does using AI on thousands of transactions a month cost?
Savings measures every call against the provider's own meter and publishes the floor of the confidence interval, not the flattering estimate. Your first month is calibration: you pay the seat only, we measure all of your traffic and we charge no commission — at close you see the exact statement of what it would have cost.
Bring a finance process and watch it run.
In the demo we trace one of your processes — with test data — and you see every step with its rule, its trace and its human gate.
