Industry · Estate agents and property managers

Every deal with its trace. Every landlord and tenant, without leaving your environment.

Real estate lives on processes that end in a signature: lettings, deposits, renewals, owners' meetings. BiVelio turns them into stateful flows, pseudonymizes landlords and tenants before any AI sees them and leaves the decision to your team on everything that is about to be signed.

Illustrative scenario with fictitious data — not taken from any customer.

How a property file flows through BiVelio

The same BiVelio flow, explained in the vocabulary of the agency and the property manager: what comes in, what is protected, what it costs and who signs.

1

The deal enters its process

Every letting, sale or meeting opens a case file with its process: parties, deadlines, deposits, charges and who approves each step.

2

Privacy protects owners and tenants

Names, identifiers, bank accounts and addresses are replaced with reversible placeholders before any external AI sees them. The mapping key never leaves your environment.

3

Savings measures what it costs

Every model query is priced against the provider's own meter. You know what automating a whole community's management costs before deciding to automate more.

4

Studio puts the gate in your team's hands

The case file moves through a stateful flow: what adds up goes through; an ambiguous deposit, an unresolved charge or a pending meeting resolution stops before a person and is recorded.

The hard cases — and what happens to them

What sets a governed system apart from a tool is not the easy case, but where the exception ends up.

A charge on the land registry extract the seller never mentioned

The registry says mortgage and the listing says “free of charges”. The discrepancy doesn't resolve itself: it is flagged and waits for the person before anyone signs.

A lease with years of updates

Five rent reviews over the years. Every change keeps its date and its trace; the current rent is confirmed by your team, not by inference.

Several owners of the same property

Co-owners, heirs, usufructuaries. Pseudonymisation placeholders are stable within the file: the AI reasons about each party without ever knowing who they are.

A step the model wants to “skip”

If an agent proposes setting a rent or allocating an expense without the approval the policy requires, the gate blocks it. Nothing that is about to be signed moves without your team.

What gets automated

  • Opening and classifying deals, renewals and meetings
  • Controlling parties, amounts, deadlines and charges at every step
  • Pseudonymising owners, tenants and bank accounts before any AI
  • Cross-checking lease, registry, community and invoicing
  • Moving the case file forward when everything adds up

What stays in the hands of your team

  • Every exception the policy cannot resolve on its own
  • Any discrepancy within the same case file
  • The terms about to be signed: rent, deposit, deadlines, charges
  • Allocating expenses to HOAs and properties
  • The relationship with owners, tenants and HOA meetings

Regulation and trust: what we can state

Only what we already publish and you can verify. The agency's or property manager's legal obligations remain yours; the gate gives you technical facts to support them.

Personal data under GDPR and LQPD

Owners, tenants and their bank accounts are pseudonymised in your environment before anything leaves; the definition in Art. 4(5) GDPR describes exactly that mechanism. Data hosted in the EU.

Confidentiality, by construction

The external model only sees placeholders; reconstruction happens in your system. That an owner's data never left is not a promise: it is a verifiable property of the design.

Traceability before the HOA and before the parties

Every step of the process is recorded, and so is every approval: who, what, when and under which policy. An audit is answered by pointing, not by reconstructing.

Who it is for — and who it is not for

It fits if…

  • You manage a volume of deals and communities that no longer fits manual follow-up
  • You want to use AI on files without owners and tenants travelling to an external provider
  • You need every step of a deal that gets signed to have a demonstrable trace
  • You would rather have anything doubtful stop in front of your team than an automation that signs on its behalf

It does not fit if…

  • You are looking for a listings portal or a real estate CRM — BiVelio is not that: it works on top of yours
  • You want AI to set terms or allocate expenses without human intervention
  • Your volume is a handful of deals a month: manual follow-up pays off

How it's implemented: a two-week pilot, no project

No migration, no integration up front. We start with one of your real processes, in measure-only mode, and you decide on what you see.

1

Week 1 · your process, nothing touched

Together we pick one repetitive process and trace it step by step: what triggers it, which systems it touches, who approves and where it gets stuck. Savings measures what the AI would cost. You watch; nothing changes yet.

2

Week 2 · the human gate with your team

Together we define what gets automated and what stops in front of a person in your operation, and who reviews. Privacy is switched on in front of the models you already use. The flow runs with your people inside it.

3

Decision · with your figures, not ours

You see how many runs went through on their own, which ones stopped before a person and why, and the cost measured against the provider's meter. If it doesn't pay off, you say so and nothing happens. If it does, the pilot is already the implementation.

Frequently asked questions from estate agents and property managers

Does owners' and tenants' data reach ChatGPT, Claude or any external model?

No. Privacy replaces it with reversible placeholders before the request leaves your environment; the provider only sees placeholders and the answer is reconstructed locally. If detection is in doubt, the request does not go out.

What happens when a step in the deal doesn't add up?

The flow doesn't adjust it by itself: it stops before your team with the full context in front of them — which rule failed and with what data — and their decision is recorded. Nothing moves forward by inference.

Does it draft contracts or decide terms?

No. It governs the process with a trace; the terms that get signed and the allocation of expenses belong to your team and are recorded.

Does it work for property managers as well as agencies?

Yes. Meeting notices, resolutions, levies and community expenses run as traced processes; whatever doesn't match what was agreed goes to review before being allocated.

Bring one of your agency's processes and watch it run.

In the demo we trace one of your processes — with test data — and you see every step with its rule, its trace and its human gate.
